Management Executive Assistant Heidelberg area asap
On behalf of our client we are looking for an international experienced assistant. The position is based in the Heidelberg area and our client is international successful IT Company.
EXPECTATIONS AND TASKS
· Administrative assistance (e.g. scheduling of meetings, meeting infrastructure like conference room booking, travel management, controlling tasks, etc.) with strong focus on senior management.
· Organization of team and management meetings/events
· Creation & maintenance of meeting calendar, distribution lists
· Manage shared repositories, drives and communities
· Support preparation of presentations including editing & translating
· Act as a central contact person for all employees in the department
· Monitoring budget and co-ordination of purchasing issues (3rd Party)
· Proactive and able to identify and solve problems before they reach critical stages
· Coordinate travel arrangements and visa applications
EDUCATION AND QUALIFICATIONS / SKILLS AND COMPETENCIES
· High motivation and service orientation
· Flexible, able to work independently and well structured, and in a proactive manner
· Excellent time management and organizational skils
· Excellent written and verbal communications skills in Business English and German
WORK EXPERIENCE
· 4+ years of work experience within an international company in administrative positions,
· Experience in working within virtual teams and with managers located remotely and in different time zones
· Excellent Microsoft Office skills
